Apollo.io integration

Find and enrich prospects, keep contacts, accounts and deals in sync, and run tasks and sequences in your clients' Apollo.io workspaces.

What it does

The Apollo.io integration lets you run prospecting and sales-engagement automations on behalf of any client whose Apollo workspace you manage. Connect an Apollo workspace once, then create and update contacts, accounts and deals, enrich people and companies from Apollo's database, manage lists, tasks and sequences, and start a workflow whenever a contact, account, deal or task is created or changed.

Connect an Apollo.io account

  1. In Apollo, open Settings -> Integrations -> API Keys (or go to developer.apollo.io/#/keys).
  2. Choose Create new key, name it (for example TaskJuice), and turn on Set as master key.
  3. Copy the key Apollo shows and paste it into the API Key field when you add the Apollo connection in TaskJuice.

Use a master key. A key limited to selected endpoints is refused (403) on every endpoint you did not select, and listing your teammates — which the owner pickers need — only works with a master key.

The key is always sent in a request header, never in a URL.

Everything the key creates in Apollo is owned by your workspace's longest-standing admin, not by whoever created the key. Use an Owner field to assign a record to someone else.

Triggers

Apollo cannot notify other apps when records change, so these triggers check Apollo on a schedule (every 5 minutes by default; change it under Polling). Each check starts your workflow once with everything new since the last check, in an items list. Add a Loop node to handle the records one at a time. The first check after you publish only notes what already exists, so existing records never start the workflow.

  • apollo/new-contact. A contact was created.
  • apollo/contact-updated. A contact changed. A newly created contact counts as a change too.
  • apollo/new-account. An account was created.
  • apollo/account-updated. An account changed. A newly created account counts as a change too.
  • apollo/new-deal. A deal was created after the workflow was published.
  • apollo/new-task. An open task was created after the workflow was published.

To react to a stage change, use Contact Updated or Account Updated and add a Filter node on the stage field.

Actions

Contacts

  • apollo/create-contact, apollo/update-contact, apollo/get-contact, apollo/search-contacts. Search matches names, titles, companies and email addresses.
  • apollo/bulk-create-contacts, apollo/bulk-update-contacts. Up to 100 contacts in one step.
  • apollo/update-contact-stages, apollo/update-contact-owners. Move or reassign several contacts at once.
  • apollo/list-contact-deals, apollo/list-contact-stages.

Run dedupe on Create Contact makes it a find-or-create, but when Apollo finds a match it overwrites that contact with the values you send. Leave fields blank that you do not want to change.

Accounts

  • apollo/create-account, apollo/update-account, apollo/get-account, apollo/search-accounts.
  • apollo/bulk-create-accounts, apollo/bulk-update-accounts, apollo/update-account-owners, apollo/list-account-stages.

Deals

  • apollo/create-deal, apollo/update-deal, apollo/get-deal, apollo/list-deals, apollo/list-deal-stages.

Tasks, calls and notes

  • apollo/create-task, apollo/bulk-create-tasks, apollo/get-task, apollo/update-task, apollo/complete-task, apollo/skip-task, apollo/search-tasks.
  • apollo/create-call-record, apollo/update-call-record, apollo/search-calls. Log calls made outside Apollo.
  • apollo/list-notes. Needs at least one filter (a contact, account, deal, meeting or conversation).

Lists

  • apollo/list-lists, apollo/create-list, apollo/update-list.
  • apollo/add-records-to-list, apollo/remove-records-from-list. Lists are named, and adding to a name that does not exist yet creates the list.

Sequences and email

  • apollo/search-sequences, apollo/create-sequence, apollo/update-sequence, apollo/activate-sequence, apollo/deactivate-sequence, apollo/archive-sequence.
  • apollo/add-contacts-to-sequence, apollo/update-sequence-contact-status, apollo/get-contact-sequence-activity, apollo/list-email-schedules.
  • apollo/create-email-draft, apollo/send-email, apollo/get-email-send-status, apollo/get-email-content, apollo/get-email-stats, apollo/search-outreach-emails, apollo/list-email-accounts.

Adding contacts to a sequence and sending email both need a mailbox connected in Apollo. A sequence needs at least one step before it can be activated.

Prospecting and enrichment

  • apollo/enrich-person, apollo/bulk-enrich-people, apollo/get-person, apollo/search-people.
  • apollo/enrich-organization, apollo/bulk-enrich-organizations, apollo/get-organization, apollo/search-organizations.
  • apollo/list-job-postings, apollo/search-news-articles, apollo/get-enrichment-result.

Enrichment, company search, job postings, news and the get-person and get-organization lookups spend Apollo credits when they return data. People search does not reveal emails or phone numbers.

Workspace, analytics and conversations

  • apollo/list-users, apollo/get-current-user, apollo/list-fields, apollo/create-custom-field, apollo/update-custom-fields.
  • apollo/get-credit-usage, apollo/get-api-usage, apollo/query-analytics-report.
  • apollo/search-conversations, apollo/get-conversation, apollo/export-conversations, apollo/get-conversation-export.
  • apollo/run-assistant-task. Send an instruction to Apollo's AI Assistant, then call it again with the returned task ID to read the answer.

Known limitations

  • Plan access. On Apollo's free and trial plans, people search, company search, people enrichment, get person and get organization are refused (403). Every paid plan includes them.
  • Rate limits. Apollo limits each endpoint separately per minute, hour and day, shared by every key in the workspace. The free plan allows 50 requests a minute and 600 a day per endpoint. Each trigger check is one request, so a short polling interval uses that allowance quickly.
  • Bursts between checks. A trigger reads at most 100 records per check (50 by default). If more than that change between two checks, the oldest are missed, so raise Max Records Per Cycle or shorten the interval for busy workspaces.
  • Analytics reports are limited by Apollo to 5 an hour.
  • Deleting records. Apollo's API cannot delete contacts, accounts or deals, so there are no delete actions. Delete them in Apollo.
